A busy and growing accounting firm looking for a reliable, sharp, and proactive Office Manager to help keep things running smoothly behind the scenes. If you’re an organized go-getter who thrives in fast-paced environments and has experience supporting senior executives—especially within an accounting firm—we’d love to meet you.
🧾 What You’ll Be Doing:
You’ll support the leadership team with a wide range of tasks that keep the business moving. These include:
Invoicing & Payments: Create and send invoices, track client payments, and log company expenses with accuracy.
Research: Conduct industry or market research and compile clear, comparative summaries.
Document Management: Organize and maintain digital files and folders for quick, easy access.
Data Entry: Create lead lists, record meeting minutes, transcribe notes, and assist with payroll tracking.
Product & Vendor Research: Research vendors/products, place orders, and help coordinate deliveries or samples.
CRM Management: Maintain and update CRM tools used for client communication, marketing, and sales campaigns.
Project Support: Assist in project tracking, internal updates, and managing important data.
Scheduling: Manage calendars, coordinate team meetings, and ensure everyone’s where they need to be on time.
Travel Planning: Book flights, hotels, and car rentals for team members when needed.
Phone Handling: Make and receive calls for scheduling, client follow-ups, or gathering information.
Inbox Management: Organize and clean up email inboxes, prioritize important messages, and flag anything urgent.
Presentations & Reports: Create reports and presentation decks from compiled data.
Online Presence: Upload website content, manage online reviews, and ensure online profiles are current.
Administrative Support: Handle general virtual assistant tasks as needed to support the team and clients.
✅ What We’re Looking For:
Accounting Firm Experience (A major asset): You’ve worked in an accounting or finance setting and understand the importance of precision and confidentiality.
CRM Savvy: You know how to navigate and maintain CRM systems for tracking relationships, tasks, and client activity.
Strong English Skills: You can communicate clearly, professionally, and confidently (at least B2 level English required).
Detail-Oriented Listener: You absorb instructions quickly, take thorough notes, and spot inconsistencies before they become problems.
High IQ & Attention to Detail: You’re intellectually sharp, quick to understand complex processes, and don’t miss the small stuff.
Remote-Ready: You’re fully equipped to work from home and comfortable with remote collaboration tools.
Flexible & Reliable: You’re proactive, independent, and dependable—especially during US working hours.
💻 Technical Requirements:
USB noise-canceling headset (required)
Working webcam (for occasional team calls)
A computer with at least 1.8 GHz processor and 4 GB RAM
Internet: Minimum 25 Mbps wired connection (main), 10 Mbps backup

⏰ Work Schedule:
Full-time: Monday to Friday, 9 AM – 6 PM EST
US hours only – night shift for most international applicants
